Countway Resource Fair | Vendors

The Countway Library Resource Fair is a valuable opportunity for attendees to learn more about your organization, ask questions about your services and products, and understand how they can help improve their academic and professional lives.

The vendor booths will be located across two floors of the beautiful Countway Library. The event is organized by the Countway Library Outreach & Public Services Department. 

Participating vendors will receive advance promotion on our website and event marketing materials, along with featured placement in the event program designed to drive attendee engagement at every table.

Food and drink will be provided for vendors and attendees throughout the event.

• Connect with 500+ medical, dental, and public health students, staff, faculty, and postdocs
• Educate Harvard Longwood Campus users about your resources at the start of the academic year
• Build relationships between your company and our users
• Interact with attendees directly in a lively, interactive
• Register early to get on our attendees' radars in advance of the event via our digital and onsite marketing

• 1 Table (5’x2’)

• Power strip
• Option to pre-record a 4–7 minute video about your product(s) to be posted on event webpage
• Stickers for attendee BINGO cards—completed cards are entered to win premium prizes!

Much of the Countway Resource Fair’s success is due to vendor participation and sponsorship.

The following sponsorship options are available for the 2026 Resource Fair:

• Beverage Sponsorship: $400 
• Food Sponsorship: $500 
• Tote Bag Sponsor (exclusive): $2,500 

Vendor Expectations

• Only resources Countway currently subscribes to can be highlighted. This is not a sales opportunity. Any new purchasing/licensing opportunities can be sent to Len Levin for evaluation.
• We will raffle off several premium items provided by vendors (valued at $100 and above, such as a AirPods, iPad Mini, gift card, etc.). These can be brought to the event or mailed in advance to:

• You may hand out materials at your table, such as brochures, small souvenirs with your logo, or similar items. Candy or other treats may be distributed, but must be individually wrapped.
• Drop-offs and pick-ups can be made at the Shattuck Street entrance (10 Shattuck Street, Boston). You can also mail your materials ahead of time to 695 Huntington Avenue (see above) beginning September 1, 2026.
• Vendors may arrive no earlier than 9:00am and must be fully set up by 11:00 am.
• Vendors may not begin packing up until the event ends at 4:00 pm.
• Exhibit booths must be continually staffed throughout the event. We recommend having two representatives, as the event gets very busy at times.

Parking

Countway does not have an available parking lot. You may reserve a parking spot at the Medical School next door via the Harvard Online Parking Permit System.

Other options include:

• Rideshare (Lyft, Uber, etc.)—use 695 Huntington Avenue address
• Brigham and Women's parking garage on Francis Street
• Children's Hospital parking garage on Longwood Avenue

• Masks are welcome (optional) inside the library.
